There Is No Excuse To Have 5K Email In Your Inbox

Initially established in 1973 as an ARPANET inclusion, the principal ideas of electronic mailing established an altered global perception of shifting trends. Packaged within the Defense Department’s ‘Advanced Research Project Agency Network’ during the historical Cold War, the conceptual idea assisted the military to acquire data and voice communication by pioneering technological means — superior in functionality to primitive telephone communications. Bringing to light innovation, decades later that would encapsulate daily life; changing the world with colossal effect. Electronic mail, known under the term ‘email’, first transformed traditional ideas of messenger communication between sender and recipient. Atypical to its postal ‘snail’ mail counterpart, electronic mail involves no postal fees per messages sent; at another great advantage transactions are automatic, doing away with delay; ranging from three to ten business days, depending on location. Based upon a mail provider, simplistic new-age concepts allow electronic mail to be exchanged without limitation twenty-four hours a day at an interval of seven days a week; textual based email can also include audio, file data, graphic images, video, and zip folders. Due to its exceptional benefits, electronic mail has grown to become a preferred route for electronic message communication at a rate that has decreased the snail mail dependence. As a result of preference, technological reports reflect that only 1 in 4 electronic mail consumers have their inbox under control; while many log into a accumulated heap of clutter and confusion from overflowing backlogs of email — at times reflecting thousands of new messages that steadily increase by shocking rates.

According to Ferris Research the average person receive up to thirty legitimate emails each day at/from work, in excess of twenty personal messages per day; while at a daily rate, an average daily user receives 15+ additional messages that classify as spam — the bulk abuse of electronic systems via various means of unwanted contact. Overwhelming, electronic messages double when a single day is taken off, triple when two days are vacated, and rise in plentiful abundance with each day that electronic mail goes without being sorted — at a rate of failure for the recipient, as often important messages are lost within a plethora of inbox messages. Chaotic inboxes can simply be controlled with recommended data management techniques, yielding important steps for the uncontained untidiness that is email. A large factor in inbox maintenance is organized discipline. With the increase in user-generated content and technological reliance of the twenty-first century, proper discipline is to check electronic mail daily; with proper utilization of data management tips, daily checks will allow each user to reduce the mass electronic traffic that is ‘new mail’ — there should be no excuse for a inbox bolstering thousands of new messages.

[1] Delete, Delete, Delete — If the sender is not recognized, directly look to the subject of the message; subject fields that make no sense, include odd characters, and/or alpha-numeric nonsense need to be deleted straight away. If the sender is not known and there is no information in the subject line, delete the message. By utilizing the delete feature, one can quickly skim the inbox and navigate by checking each message that prove to be rubbish with a mass delete — this will also protect the computer, as opening strange electronic mailings attribute to the most computer viruses; while it helps to clear the confusion. Once completed, so not to be a hoarder, progress to step two.

[2] Sort By Type — Again, the previous step must be completed prior to moving forward; without implementation of deleting useless content, nothing has been achieved. Every service provider allows for user personalization in the way of creating personal folders, folder options should be utilized at all times for proper organization. Creating folders will serve many functions, the first however is to sort through an initially muddled inbox. In example; family related email, business based email, and/or email sent by friends should have a properly designated folder — going a step further one can even create folders based on type/name of business based electronic mail, type/name/group/location of friends, type/name/location of family, and so forth. Once folders are created, start trekking down the list of inbox contents; starting with a folder at a time, place a check by all unchecked mail that goes into that folder, and move these files — to save time, come back to each folder after mails are moved to their proper location so that priorities are reserved. Sort though each folder and process to the next step.

[3] Check Email Daily — Once paving the way to a fresh pavement treat your inbox like the freeway to electronic socialization; to evade traffic back-ups and crashes the highway should be maintained daily— at least once, some may even benefit from several checks per day if possible. This will become the golden ticket to ensure important messages are obtained in a timely manner; as one cannot blame anyone but themselves for missing an important deadline or critical message due to the overage. Once mail is read use digression to delete the message or move it to the proper folder that was made in step two. Subsequent to folders are recommended for creation as folders can be used a variety of ways for data organization. In example, for electronic mail that requires a personal follow up, that cannot be done at the time of reading create a personalized “follow up” folder; allow ten to thirty days from the date on the mailing to complete the task and when it is finished send it to the trash bin — flag each uncompleted follow up if the deadline has not been met and get to these first. This allows for a clear inbox and provides that all deadlines and/or follow ups are met within time.

[4] Filter Folders — In utilization for created folders, filtration methods should be established for inbound electronic mail; at first filtering may seem too time consuming, yet substantial benefit result per systematic modification — each provider allows inbox mail to be filtered, once filters are established the email will appear as a new message in the designated folder. Filtration can be done via means of name, subject, or keyword factors; check with your provider for simple step by step directions as each seems to vary slightly. One can even filter unwanted email to the trash bin and/or send filtered spam to the spam or trash.

[5] Take Out The Garbage — Daily checks of electronic mail should also come with daily deletes of the trash bin. However, prior to doing so always check it to make sure that everything placed in it should go to the invisible land field; as once deleted no restore button can undo such move. The same should be done for spam folders, which all providers supply; first skimming the folder before removing the data – spam folder condense do not need to be sent to the trash, and delete when prompted to or at intervals set by the provider.
